Creating Search Folders in Outlook to find old emails
Where to Find in Outlook
In the Folder tab in Outlook and on the left hand side there is a New Search Folder button, and that is how you access this feature.
New Search Folder Options
There are many different options on what to search, but in this article we are going to focus on creating a custom search folder. You will scroll down to the bottom of the list and then you will see "Create a custom Search Folder".
Choosing Criteria
You will click the "Choose..." button in the screen shot above and get the following screen.
You will need to give your Folder a name that is meaningful to your search so you know what is in that folder. You will then select the "Criteria..." button to set up the search.
If you want to search by keyword, you can type your keywords out and separate the words by a comma. You can change the "In:" dropdown list to what you want to search. You can then choose if you want to only search for emails from or to a certain person. For now we will skip over the More Choices tab and switch to the Advanced Tab.
Here are the field options we have to search. This dropdown list just makes it easier for you to find what you are looking for. For this example we are going to use Date/Time Fields.
In the Condition dropdown we will select between, but there are more options that could be useful for your search. Using the between condition you will type the value you want "and" the other value you want (ex. 2015 and 2017). That will bring back all emails between 2015 and 2017. You can search for time as well, but for simplicity we are doing the years. You will then click "Add to List".
In the search for this example we should see emails in a new folder that contain the words Recliner, Oversized, and Ozark Trail in the subject or message body. However it will limit those emails to ones that were Received between 2015 and 2017. So you should see all emails received between 2015 and 2017 containing those search words in a new folder.
Accessing The Search Folder
You will see this new folder on the left hand side under "Search Folders" which will more than likely be at the bottom of your list of folders.
You can then click the folder you setup and you should see emails in the list on the right side pane. If there are none showing up, you might give it a few minutes to catch up and load the emails, or check your criteria to make sure it is setup correctly. You may also have to try the search on Outlook on the web because it may hold more emails than your desktop app of Outlook.
